This Privacy Policy explains how Hilo Labs Limited ("Hilo Labs", "we", "us", or "our"), which operates the Fulcra AI product, handles information about people who visit our website at getfulcra.ai (the "Site") and people who access or use the Fulcra AI application platform (the "Platform"). We refer to the Site and the Platform together as the "Services".

Scope

This policy covers information collected through our public marketing Site (including our "Book a demo" and "Learn more" contact flows) and through the Platform (including account, profile, and usage information from customers and their authorized users).

When a customer uploads documents, deal data, and other materials into the Platform for due diligence analysis ("Customer Content"), Hilo Labs handles that Customer Content on the customer's behalf and under the customer's instructions, in accordance with the separate written agreement (including any data processing agreement) between Hilo Labs and that customer. That agreement governs Customer Content and controls in the event of any conflict with this policy. This policy otherwise describes how we handle personal information across the Services.

Information we collect

We collect the following categories of information:

• Information you give us. When you request a demo or ask for more information, you provide your email address, and you may choose to share your name, company, and any details you include in your message.
• Scheduling information. If you book a demo, that scheduling is handled by a third-party tool (Calendly), which collects the details you enter to arrange the meeting.
• Account and profile information. When you are given access to the Platform, we process the information used to create and manage your account, such as your name, work email address, organization, and role. Authentication is handled through our identity provider.
• Customer Content. When you or your organization upload documents, deal data, and other materials into the Platform, we process that Customer Content to provide the analysis and due diligence features of the Platform, as described in the Scope section above.
• Information collected automatically. Like most websites and online applications, our hosting and content-delivery providers automatically log basic technical data such as your IP address, browser type, device information, referring pages, and the pages or features you use. On the Platform we also record activity and usage logs (for example, sign-in events and actions you take) to operate, secure, and improve the service. We may use cookies or similar technologies for basic Site and Platform functionality and analytics.

How we use information

We use the information we collect to:

• Respond to demo and information requests and communicate with you about Fulcra AI;
• Provide, operate, maintain, secure, and improve the Site and the Platform;
• Create and administer Platform accounts and authenticate authorized users;
• Process Customer Content to deliver the Platform's analysis and due diligence features, on the customer's behalf and under the customer's instructions;
• Monitor, troubleshoot, and protect the Services against fraud, abuse, and security incidents;
• Understand how visitors and users interact with the Services so we can improve them; and
• Comply with legal obligations and enforce our terms.

How we share information

We do not sell your personal information. We share information only in these limited circumstances:

• Service providers. We use trusted vendors to run the Services, such as cloud hosting and infrastructure providers, email, scheduling (Calendly), analytics providers, and the AI and document-processing providers used to power the Platform's analysis features. They may process information on our behalf, are bound by appropriate confidentiality and data protection obligations, and are expected to protect it.
• Legal reasons. We may disclose information if required by law, or to protect the rights, safety, and property of Hilo Labs, our users, or others.
• Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

Data security

We use reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Data retention

We keep information collected through the Site only as long as needed for the purposes described in this policy, to comply with our legal obligations, resolve disputes, and enforce our agreements. For the Platform, we retain account and usage information for the duration of the customer's access and as needed for the purposes above. Retention and deletion of Customer Content are governed by the customer's written agreement with us. You can ask us to delete information you have provided.

Your choices

You can:

• Ask us to access, correct, or delete the personal information you have provided through the Services;
• Opt out of marketing emails at any time by using the unsubscribe link in the message or by contacting us; and
• Adjust your browser settings to refuse cookies, though some parts of the Services may not function as intended.

To exercise any of these choices, email us at support@hilolabs.com. If your request relates to Customer Content processed on a customer's behalf, we may direct the request to that customer, who controls that content under its agreement with us.

Children's privacy

The Services are intended for a business audience and are not directed to children. We do not knowingly collect personal information from children.

Third-party links

The Services may link to or integrate with third-party websites and services (for example, our scheduling tool). We are not responsible for the privacy practices of those third parties, and we encourage you to review their policies.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be reflected on this page.
